2. Personal Data We Collect, Why and Our Lawful Basis

Website visitors and enquiries. If you contact us through our website, we use your name, email address, organisation and message to respond. Our hosting provider Squarespace, and Google Fonts and Adobe Fonts, collect technical data such as your IP address, device and pages viewed, to run and secure the site. Lawful basis: legitimate interests.

Mailing list. This covers people who subscribed through our website or shared their details during a Fii project or event. This includes professional contacts from projects where Fii and other organisations were joint data controllers. We hold your name, job title, organisation, work email and email preferences, and use them to send our newsletter and invitations to our events, webinars and research. Lawful basis: consent if you subscribed through our website. Legitimate interests for contacts from previous projects, where we use only work contact details, for purposes related to the professional context in which they were collected. You can choose which emails you receive or opt out at any time.

Events, webinars and research. If you register for an event or take part in our surveys or research, we collect your contact details, attendance, questions and responses. We use them to run the event or research, send follow-up materials and publish findings. We publish findings in anonymised or aggregate form, and will not identify you or your organisation without your agreement. We may record webinars and take photos at events, and will tell you when we do. You can keep your camera off or tell us if you prefer not to appear. Lawful basis: legitimate interests. Where we ask for accessibility or dietary needs, or optional sensitive information in research, explicit consent.

Job applicants. If you apply for a role, we use your CV, cover letter, interview notes and references to assess your application, and, if you are successful, to check your right to work. Any equal opportunities questions are optional and used only to monitor our recruitment, not to make decisions. Lawful basis: steps before entering a contract, and legitimate interests. Right to work checks are a legal obligation.

3. Who We Share Your Data With

We share data only with:

  • Service providers that run our website, emails, events, surveys and recruitment on our behalf, including Squarespace, Mailchimp, Zoom, Qualitrics, Microsoft

  • Event partners, if we tell you so at registration

  • Referees you have named

  • Authorities, where the law requires

We do not sell your data, or share mailing list contacts with anyone else for their own use.

Some providers are based outside the UK, including in the US. Where data is transferred, we use appropriate safeguards, such as the UK International Data Transfer Addendum.

4. Data Retention

We keep personal data only for as long as we need it for these purposes, then delete or anonymise it. If you unsubscribe from all our emails, we keep only your email address on a suppression list so that we do not contact you again.

7. Your Rights

You have the right to access, correct or delete your data, to restrict or object to our use of it, to withdraw consent where we rely on it, and, in some cases, to data portability. You can object to direct marketing (including our newsletter and event invitations) at any time, and we will always stop. Contact contact@fii.international and we will respond within one month.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. We will tell you directly about any significant changes where we can.
